Multiple Contact Methods per User

With 0800Fone, every user is allocated multiple contact methods, allowing you to stay connected, anywhere and anytime. A single user plan includes the following contact methods:

  • One Mobile contact, plus a Mobile App: to receive and make calls using your smartphone
  • One VoIP Line: receive and make calls with a PC or any SIP compatable IP phone
  • One Landline contact: receive calls at home or use as a backup if no internet available

0800Fone Mobile Applications

 

The phone.systems Mobile Application allows a smart phone to function as a mobile extension of a phone system. Users may dial internal PBX numbers directly from mobile devices, and any one of the virtual (local) phone numbers used by the PBX (for example, a business phone number) may be displayed as the caller ID when making outbound calls from a mobile device.


Installing the 0800Fone Mobile Application

This application is available for the iOS (Apple) and Android operating systems. Links to the sites for downloading these applications may be found on the 0800Fone web site (www.0800fone.com) or may be accessed by searching for the term "0800Fone" on the Apple App Store (iTunes) or Google Play web sites.

Once the iOS or Android 0800Fone Mobile Application has been installed, launch the application and continue as follows:

  • Optionally read the general information on this product and then click the "Authorize" button to synchronize the 0800Fone Mobile Application with your 0800Fone voice system.
  • There are two methods of synchronization, either via a QR (Quick Response) code or by manually entering a PIN code.

For either method, you are required to login to your 0800Fone account on your PC. Note that you must have a valid 0800Fone account together with a configured 0800Fone voice system in order to continue.

In order to generate the QR or PIN codes, access your 0800Fone panel on a PC and click on the button located at the bottom of the Palette menu.

Clicking on this button causes a window with a QR code and PIN to be displayed as shown below.

The QR and PIN information generated is valid for 15 minutes and may only be used for a single activation of the 0800Fone Mobile Application. If you wish to use the QR code, then direct the camera of your mobile device towards the PC screen where that code is being displayed. The 0800Fone Mobile Application will automatically read and validate the QR code. If you use the PIN code for authorization, you may manually enter that code into your mobile device. Alternatively, click on the generated PIN code on your PC so as to copy that code to a clipboard, and then forward that information to your mobile device for further use.

This process synchronizes the phone.systems Mobile Application with your currently configured phone.systems system, including the details of the contact methods and internal numbers (extensions).

  • Once the authorization process has been completed, you will be required to select the cellular phone number of your mobile device from a list of all the mobile contact methods currently configured in your 0800Fone system. Important - the phone number of your mobile device must be listed as an existing contact method on a Person object included in your current 0800Fone configuration. If there are no existing mobile contact methods, the screen below will be displayed. In this case, you should add a mobile contact method to your 0800Fone voice system and refresh the mobile application.
  • If multiple mobile contact methods are included in your current 0800Fone configuration, you will be asked to select the cellular phone number for the mobile device that you are currently configuring (see image below). It is important that this phone number should be correctly configured, as voice communications between your mobile device and the 0800Fone system will be conducted using this number.
  • Once the mobile number has been configured, your 0800Fone Mobile Application is ready for use. Alternatively you may chose the "Advanced" option that allows to configure additional 0800Fone parameters.
  • If the "Advanced" option is selected, miscellaneous configuration parameters are presented, the first of which is the outbound Caller ID settings. These settings define the Caller ID that is displayed when placing outbound calls from your mobile device and includes three options:

1. "Default" - A default Caller ID that is always displayed on outbound calls. This number may be your mobile phone number or may be selected from any of the local numbers (DIDs) currently configured on your 0800Fone system. When selecting a "Default" Caller ID, your mobile phone number and all of your configured DIDs are displayed, and a single phone number must be selected from this list.

2. "Auto-Match" - An attempt will be made to match one of your configured DIDs with the country/area code that is being dialed, and then present that DID as the Caller ID. For example, if you have a Canadian, Mexican and South African DID and you dial a Mexican number, then your Mexican DID will be displayed as the Caller ID. When setting the "Auto-Match" configuration, all of your configured DIDs are displayed and they may be individually selected to enable auto-matching for that country/area code. Note that multiple phone numbers may be selected for this "auto-match" option.

3. "Internal" - An internal number will be displayed as the Caller ID. When setting this configuration, all of your configured internal numbers are displayed, and a single internal number must be selected from this list.

Optional dialing rules may be configured, allowing you to automatically modify dial strings (if required) when making outbound calls. This is particularly useful when dialing numbers that have previously been entered in your phone book on your mobile device, but should be modified due to regional and international dialing considerations.

Tapping on the "Start with" or "Replace with" field activates a keyboard for data entry, and your dialing rules may be configured.

Examples of dialing rules are as follows: If you live in South Africa, local mobile numbers will be listed in your phone book as having prefixes such as 082, 083 and 084 for direct dialing while in South Africa. However, when travelling, these numbers must be modified to include the country code for South Africa (27), and the leading 0 in the mobile number must be removed. In this case, the dialing rule "Start with 0", "Replace with 27" would be entered to automate the number modification for outbound dialing.

Similarly, if you regularly dial Brazilian phone numbers from Canada, then those numbers will be listed in your phone book as having the prefix 011-55 (exit code from Canada, plus the country code for Brazil). However, if you are travelling in Brazil and are dialing numbers locally, you would need to remove the international prefixes. In this case your dialing rule would specify "01155" in the "Start with" field, but the "Replace with" field, would be left blank. This would result in the prefix "01155" being deleted from the listed Brazilian phone numbers.

Note that if the "Start with" field is left blank, then the numbers entered in the "Replace with" field will be added to the beginning of all dialed numbers. If the "Replace with" field is left blank, then the numbers entered in "Start with" field will be removed from all dialed numbers.

Multiple dialing rules may be entered, and clicking on the "+" sign next to the rule activates that rule. Both the "Start with" and "Replace with" fields support a maximum of 7 digits.

Once the dialing rules have been configured, save the settings and your 0800Fone Mobile Application is ready to use.


Using the 0800Fone Mobile Application

The main screen of the 0800Fone Mobile Application presents and functions as a dial pad, allowing you to place calls to both regular phone numbers, as well as any internal numbers configured in your PBX.

IMPORTANT: Incoming calls are received by your regular phone application, as calls are forwarded by 0800Fone to the cellular phone number previously configured during the setup of the 0800Fone Mobile Application.

Note that the CLI shown in the top left-hand corner of the dial screen is the Caller ID that will be displayed when placing outbound calls from your mobile device.

Other screens accessible from the menu at the bottom of the main screen include:

  • A listing of your recent outbound calls.
  • Your contacts, which is based on your existing address book/contact list on your mobile device. Note that during the configuration of the 0800Fone Mobile Application, you are given the option of not allowing the 0800Fone Mobile Application to access your existing contact list.
  • A listing of the internal numbers configured on your 0800Fone system, including the details (identity or name) of that internal number. Internal numbers may be dialed directly from this menu by selecting a listed entry.

Additional configuration and informational menus are accessed by swiping from left to right on the screen.

These menus include:

  • The ability to change the local access number that must be used for outbound dialing. This feature is useful when changing your geographic location, where an alternative local number should be used.
  • An option to modify the cellular phone number of your mobile device. This feature is useful when changing SIM cards in your mobile device or when using a dual-SIM phone.
  • An option to edit your dialing rules (as previously discussed) for making outbound calls.
  • The ability to modify the outbound Caller ID (as previously discussed) that is displayed when placing outbound calls from your mobile
  • The option to re-authorize your mobile device. This is useful if configuration changes have been made to your 0800Fone system (such as the addition of internal numbers and DIDs) and you wish to update your 0800Fone Mobile Application to include these changes. Once this authorization process has been completed, your mobile application will reflect your latest 0800Fone configuration.

Configuring Softphones for use with 0800Fone

 

Softphones allow you to receive calls and to make outbound calls over the Internet from a computer or smart device. This piece of software acts as a phone interface, allowing you to dial numbers and carry out other phone related functions via a screen (such as a computer or smartphone) using your mouse, keypad or keyboard.

Softphone applications may be downloaded from a variety of providers, and are easily configured to become seamless and highly flexible components of your 0800Fone system.

A typical softphone application is X-Lite, which is available from CounterPath Corporation. Once you have downloaded this application, configuration for use with 0800Fone is as follows:

Using the 0800Fone graphical interface, open an existing Person object or add a new Person object. Add a Device contact method and enter the required configuration details until the screen Enter your device details is displayed. There are three preset fields (Username, Password and Server) that must be entered into your softphone's SIP account configuration in order to complete the communications between your softphone and 0800Fone. These fields are easily copied from 0800Fone to your softphone by clicking on the required field on the 0800Fone configuration screen to copy the text to a clipboard, and then pasting that information to the appropriate field in your softphone settings. An example of a SIP configuration for an X-Lite softphone is shown below. Note that the configuration fields for the softphone may not have the same naming scheme as that of 0800Fone. For example, the field Server in 0800Fone is named Domain in X-Lite.

Once this configuration process has been completed, your softphone will be connected to your 0800Fone system.

IMPORTANT - If this softphone is also to be used for outbound calling, then the Enable Outbound Calls option must be selected in the 0800Fone configuration screen shown above.

  • One Landline contact: receive calls at home or use as a backup if no internet available

0800Fone Mobile Applications

 

The phone.systems Mobile Application allows a smart phone to function as a mobile extension of a phone system. Users may dial internal PBX numbers directly from mobile devices, and any one of the virtual (local) phone numbers used by the PBX (for example, a business phone number) may be displayed as the caller ID when making outbound calls from a mobile device.


Installing the 0800Fone Mobile Application

This application is available for the iOS (Apple) and Android operating systems. Links to the sites for downloading these applications may be found on the 0800Fone web site (www.0800fone.com) or may be accessed by searching for the term "0800Fone" on the Apple App Store (iTunes) or Google Play web sites.

Once the iOS or Android 0800Fone Mobile Application has been installed, launch the application and continue as follows:

  • Optionally read the general information on this product and then click the "Authorize" button to synchronize the 0800Fone Mobile Application with your 0800Fone voice system.
  • There are two methods of synchronization, either via a QR (Quick Response) code or by manually entering a PIN code.

For either method, you are required to login to your 0800Fone account on your PC. Note that you must have a valid 0800Fone account together with a configured 0800Fone voice system in order to continue.

In order to generate the QR or PIN codes, access your 0800Fone panel on a PC and click on the button located at the bottom of the Palette menu.

Clicking on this button causes a window with a QR code and PIN to be displayed as shown below.

The QR and PIN information generated is valid for 15 minutes and may only be used for a single activation of the 0800Fone Mobile Application. If you wish to use the QR code, then direct the camera of your mobile device towards the PC screen where that code is being displayed. The 0800Fone Mobile Application will automatically read and validate the QR code. If you use the PIN code for authorization, you may manually enter that code into your mobile device. Alternatively, click on the generated PIN code on your PC so as to copy that code to a clipboard, and then forward that information to your mobile device for further use.

This process synchronizes the phone.systems Mobile Application with your currently configured phone.systems system, including the details of the contact methods and internal numbers (extensions).

  • Once the authorization process has been completed, you will be required to select the cellular phone number of your mobile device from a list of all the mobile contact methods currently configured in your 0800Fone system. Important - the phone number of your mobile device must be listed as an existing contact method on a Person object included in your current 0800Fone configuration. If there are no existing mobile contact methods, the screen below will be displayed. In this case, you should add a mobile contact method to your 0800Fone voice system and refresh the mobile application.
  • If multiple mobile contact methods are included in your current 0800Fone configuration, you will be asked to select the cellular phone number for the mobile device that you are currently configuring (see image below). It is important that this phone number should be correctly configured, as voice communications between your mobile device and the 0800Fone system will be conducted using this number.
  • Once the mobile number has been configured, your 0800Fone Mobile Application is ready for use. Alternatively you may chose the "Advanced" option that allows to configure additional 0800Fone parameters.
  • If the "Advanced" option is selected, miscellaneous configuration parameters are presented, the first of which is the outbound Caller ID settings. These settings define the Caller ID that is displayed when placing outbound calls from your mobile device and includes three options:

1. "Default" - A default Caller ID that is always displayed on outbound calls. This number may be your mobile phone number or may be selected from any of the local numbers (DIDs) currently configured on your 0800Fone system. When selecting a "Default" Caller ID, your mobile phone number and all of your configured DIDs are displayed, and a single phone number must be selected from this list.

2. "Auto-Match" - An attempt will be made to match one of your configured DIDs with the country/area code that is being dialed, and then present that DID as the Caller ID. For example, if you have a Canadian, Mexican and South African DID and you dial a Mexican number, then your Mexican DID will be displayed as the Caller ID. When setting the "Auto-Match" configuration, all of your configured DIDs are displayed and they may be individually selected to enable auto-matching for that country/area code. Note that multiple phone numbers may be selected for this "auto-match" option.

3. "Internal" - An internal number will be displayed as the Caller ID. When setting this configuration, all of your configured internal numbers are displayed, and a single internal number must be selected from this list.

Optional dialing rules may be configured, allowing you to automatically modify dial strings (if required) when making outbound calls. This is particularly useful when dialing numbers that have previously been entered in your phone book on your mobile device, but should be modified due to regional and international dialing considerations.

Tapping on the "Start with" or "Replace with" field activates a keyboard for data entry, and your dialing rules may be configured.

Examples of dialing rules are as follows: If you live in South Africa, local mobile numbers will be listed in your phone book as having prefixes such as 082, 083 and 084 for direct dialing while in South Africa. However, when travelling, these numbers must be modified to include the country code for South Africa (27), and the leading 0 in the mobile number must be removed. In this case, the dialing rule "Start with 0", "Replace with 27" would be entered to automate the number modification for outbound dialing.

Similarly, if you regularly dial Brazilian phone numbers from Canada, then those numbers will be listed in your phone book as having the prefix 011-55 (exit code from Canada, plus the country code for Brazil). However, if you are travelling in Brazil and are dialing numbers locally, you would need to remove the international prefixes. In this case your dialing rule would specify "01155" in the "Start with" field, but the "Replace with" field, would be left blank. This would result in the prefix "01155" being deleted from the listed Brazilian phone numbers.

Note that if the "Start with" field is left blank, then the numbers entered in the "Replace with" field will be added to the beginning of all dialed numbers. If the "Replace with" field is left blank, then the numbers entered in "Start with" field will be removed from all dialed numbers.

Multiple dialing rules may be entered, and clicking on the "+" sign next to the rule activates that rule. Both the "Start with" and "Replace with" fields support a maximum of 7 digits.

Once the dialing rules have been configured, save the settings and your 0800Fone Mobile Application is ready to use.


Using the 0800Fone Mobile Application

The main screen of the 0800Fone Mobile Application presents and functions as a dial pad, allowing you to place calls to both regular phone numbers, as well as any internal numbers configured in your PBX.

IMPORTANT: Incoming calls are received by your regular phone application, as calls are forwarded by 0800Fone to the cellular phone number previously configured during the setup of the 0800Fone Mobile Application.

Note that the CLI shown in the top left-hand corner of the dial screen is the Caller ID that will be displayed when placing outbound calls from your mobile device.

Other screens accessible from the menu at the bottom of the main screen include:

  • A listing of your recent outbound calls.
  • Your contacts, which is based on your existing address book/contact list on your mobile device. Note that during the configuration of the 0800Fone Mobile Application, you are given the option of not allowing the 0800Fone Mobile Application to access your existing contact list.
  • A listing of the internal numbers configured on your 0800Fone system, including the details (identity or name) of that internal number. Internal numbers may be dialed directly from this menu by selecting a listed entry.

Additional configuration and informational menus are accessed by swiping from left to right on the screen.

These menus include:

  • The ability to change the local access number that must be used for outbound dialing. This feature is useful when changing your geographic location, where an alternative local number should be used.
  • An option to modify the cellular phone number of your mobile device. This feature is useful when changing SIM cards in your mobile device or when using a dual-SIM phone.
  • An option to edit your dialing rules (as previously discussed) for making outbound calls.
  • The ability to modify the outbound Caller ID (as previously discussed) that is displayed when placing outbound calls from your mobile
  • The option to re-authorize your mobile device. This is useful if configuration changes have been made to your 0800Fone system (such as the addition of internal numbers and DIDs) and you wish to update your 0800Fone Mobile Application to include these changes. Once this authorization process has been completed, your mobile application will reflect your latest 0800Fone configuration.

Configuring Softphones for use with 0800Fone

 

Softphones allow you to receive calls and to make outbound calls over the Internet from a computer or smart device. This piece of software acts as a phone interface, allowing you to dial numbers and carry out other phone related functions via a screen (such as a computer or smartphone) using your mouse, keypad or keyboard.

Softphone applications may be downloaded from a variety of providers, and are easily configured to become seamless and highly flexible components of your 0800Fone system.

A typical softphone application is X-Lite, which is available from CounterPath Corporation. Once you have downloaded this application, configuration for use with 0800Fone is as follows:

Using the 0800Fone graphical interface, open an existing Person object or add a new Person object. Add a Device contact method and enter the required configuration details until the screen Enter your device details is displayed. There are three preset fields (Username, Password and Server) that must be entered into your softphone's SIP account configuration in order to complete the communications between your softphone and 0800Fone. These fields are easily copied from 0800Fone to your softphone by clicking on the required field on the 0800Fone configuration screen to copy the text to a clipboard, and then pasting that information to the appropriate field in your softphone settings. An example of a SIP configuration for an X-Lite softphone is shown below. Note that the configuration fields for the softphone may not have the same naming scheme as that of 0800Fone. For example, the field Server in 0800Fone is named Domain in X-Lite.

Once this configuration process has been completed, your softphone will be connected to your 0800Fone system.

IMPORTANT - If this softphone is also to be used for outbound calling, then the Enable Outbound Calls option must be selected in the 0800Fone configuration screen shown above.

Voice Menu

The Voice Menu or IVR (Interactive Voice Response) is one of the most important features of a 0800Fone and allows callers to interact with 0800Fone by pressing keys on their own phone. This means that callers can route their calls to the correct agents or departments and receive the information that they need, 24 hours a day, without the need of costly human agents. For a business, the implementation of a Voice Menu will greatly improve its customers’ experience and reduce its operating costs. 0800Fone allows you to customize your Voice Menus by recording or uploading custom messages that are played to the caller. Typically, this message would include information pertaining to extension numbers to connect with people or departments.

Unified VoicEmail is a mailbox in which callers may leave voice messages, similar to a home answering machine. In the case of 0800Fone, recorded messages are immediately forwarded as a voice file attachment to an email address that you specify, allowing you to retrieve voice messages wherever you are. 0800Fone allows you to record or upload custom messages that are played to the caller when you are not available to answer the call. This message can give instructions to the caller to leave a voice message or may provide other available options, such as listing alternative contact phone numbers.

Real Time Notification

Notifications are used to provide you with alerts when specified events occur within the 0800Fone system, allowing you to manage these events appropriately and maintain full control over your voice system. For example, you may wish to be notified when voice mail is available, when a caller joins a conference or when a fax is received. You also may select the method of notification, either by SMS or by email. In addition, 0800Fone allows you to provide customized notification text that includes “auto-fill” fields, such as the caller’s number or the called number.

Call Recording

This feature allows you to silently record phone calls in real-time. The call contents are sent to a predefined email address as a voice file attachment after the termination of each call. Call recording is useful in many situations, including reviewing the contents of calls for legal or other reasons, improving customer service, assisting with staff training and compliance with regulatory requirements.

Queue

Queues allow you to manage and process a large number of incoming calls (e.g in a call center). Typically, these callers need to be connected with a particular department, such as sales or support. Incoming calls are queued, and then the calls are distributed to the agents logged into that queue. When using 0800Fone, these agents may be either locally or remotely located, and they may even receive calls while traveling.

Queues fulfill a critical and necessary function in many businesses and must therefore be feature-rich and flexible. When using queues with 0800Fone, we offer a selection of ring strategies that are used to define how calls are distributed between queue members, options for playing music-on-hold or other messages to queued callers, and a configurable timer that defines the maximum time that a caller may wait in a queue until the call is sent to the voice mail

Multi-Zone Time Router

Time router feature allows you to specify where calls should be routed at specific periods of the day and/or specific days of the week. Many businesses have staff member who may only be available at certain times of the day or are located in different time zones. For example, you may have a call center that operates during regular business hours and another that process calls after hours and on the weekends.
